PowerSync AI Docs

Vendor inventory management for Shopify merchants who need clean stock decisions from messy supplier data.

PowerSync AI helps ecommerce teams connect Shopify, import their product catalog, add supplier sources, map supplier fields, match supplier SKUs to Shopify variants, and review safe inventory recommendations before anything can change in the store.

Built for Shopify

Products, variants, vendors, locations, SKUs, and inventory quantities.

Built for suppliers

CSV/XLSX now, with AI-assisted website, portal, email, drive, PDF, and feed architecture prepared.

Built for safety

Dry-run proposals first. Human review stays in control before any Shopify write action.

Animated Architecture

From scattered supplier data to safe Shopify inventory decisions.

PowerSync AI collects authorized vendor files, websites, portals, emails, and feeds, uses AI to extract inventory signals, validates every row, matches those rows to Shopify variants, and creates reviewable actions before any live update is allowed.

AI PowerSYNC proposals

Exactly what would change in Shopify, held for merchant review.

Alerts

Missing SKUs, duplicate conflicts, stale supplier data, and risky stock moves.

Reports

Supplier health, inventory exposure, and AI recommendations.

Dry-run records

Audit-ready holds show what would change without writing to Shopify.

1
Collect

Read authorized supplier sources and the Shopify catalog.

2
Extract

AI turns messy pages, files, and messages into normalized inventory rows.

3
Validate

Strict schema checks reject malformed data and mark weak evidence for review.

4
Match

SKU, model, barcode, and title signals connect supplier rows to Shopify variants.

5
Decide

Rules create AI PowerSYNC proposals, review holds, alerts, reports, and audit logs.

6
Record review

Shopify-changing actions stay as dry-run holds for merchant review.

PowerSync AI v2 Beta Mission

The product should feel like an inventory management team that learns each supplier once, then repeats the work for the merchant.

Train once per supplier

The merchant guides PowerSync through the authorized supplier path one time: login checkpoint, menu path, SKU search, export, or inventory table.

Save the sequence

Approved browser steps and source hints become the supplier recipe. Cloudflare, CAPTCHA, and 2FA remain manual checkpoints; one-time codes can be entered once and are not saved.

Replay with Island Mode

Agent-ready suppliers run together in the background. The merchant gets alerted when normalized Shopify-ready proposals are ready.

Approve before Shopify

Rows are review-safe until the merchant chooses what to approve. No hidden Shopify writes are part of the beta demo.

How To Use PowerSync AI

Beginner-friendly setup flow from first install to first safe inventory check.

Step 1
Connect Shopify

Install PowerSync AI, grant read permissions, and let the app read products, variants, SKUs, vendors, locations, and inventory quantities.

Step 2
Import catalog

Bring your Shopify product and variant catalog into the local workspace so supplier data has something accurate to match against.

Step 3
Add a supplier

Use Job Builder to add a supplier source. Portal / Website is the active beta path, while Gmail, PDF, and XLSX / CSV are staged as guided workspaces.

Step 4
Train once

For portals, teach PowerSync where to log in, search, click Inventory, export stock, or find the table. Saved steps make the supplier Agent-ready.

Step 5
Match products

The app compares supplier SKUs, manufacturer SKUs, model numbers, barcodes, and product names against Shopify variants.

Step 6
Run Dashboard review

Use Island Mode for all ready sources, or open Job Builder for a visible run against Gmail, PDF, Portal / Website, or XLSX / CSV evidence. Shopify catalog data is matching background, not a supplier source.

What A Merchant Does Day To Day

PowerSync AI is meant to become the inventory control desk between Shopify and every supplier source.

Morning inventory check

Open Dashboard, start Island Mode, review Alerts, and focus on products with stockouts, duplicate conflicts, or low confidence.

Train one supplier

Open Job Builder, choose Portal / Website, open the controlled browser, teach PowerSync the login/search/export path, then save the sequence.

Supplier file update

Open Job Builder, upload the newest CSV or Excel file, let AI read the source artifact, and compare proposed changes before Shopify is touched.

SKU cleanup session

Use Search and Dashboard proposal rows to find missing SKUs, weak matches, duplicate model numbers, and supplier rows that need manual approval.

Management review

Use Reports to see supplier health, current risk, proposed stock changes, and which integrations or plan limits are holding the workflow back.

What Happens During AI PowerSYNC

AI PowerSYNC is the safe preview layer for dry-run inventory decisions.

Read

PowerSync AI reads Shopify catalog data and supplier inventory rows.

Match

It matches supplier rows to Shopify variants using SKU, model, barcode, and title signals.

Decide

Rules calculate proposed inventory quantities, backorder zeros, discontinued zeros, and skipped review items.

Review

The merchant sees exactly what would happen before any Shopify update can be enabled.

Current Launch Mode

The app is intentionally conservative while Shopify launch review is prepared.

AI POWERSYNC REVIEW - no Shopify inventory writes are attempted during review mode.

Shopify writes stay disabled in this release. Merchants can review dry-run holds, supplier evidence, duplicate conflicts, and confidence thresholds before making manual changes in Shopify.

How The App Organizes Merchant Data

These are the plain-English building blocks behind the app. They help merchants understand why setup has several steps.

Store connection

The Shopify shop, plan context, permissions, API version, latest import, and location used for inventory reads.

Catalog product

A Shopify product copied into the workspace so supplier rows can be matched without constantly rereading Shopify.

Catalog variant

The exact sellable Shopify variant, including SKU, barcode, inventory item ID, location quantity, and status.

Supplier source

A saved source of supplier evidence. Portal / Website is the live beta runner; file/email connectors are staged or gated until their parsers are fully wired.

Field mapping

The saved translation between supplier column names and normalized PowerSync AI fields like SKU, quantity, status, and lead time.

Supplier snapshot

A timestamped copy of normalized supplier rows from one file or source run, preserved for auditing and comparison.

SKU match

The link between one supplier row and one Shopify variant, with confidence, evidence, and review state.

Review action

An AI PowerSYNC proposal such as set inventory to zero, restock to a capped quantity, or skip because review is needed.

Supplier Source Types

PowerSync AI is designed as an AI inventory intelligence layer, not only a spreadsheet importer.

Portal / Website
Beta active

Train PowerSync once on an authorized supplier portal or website. Browserless LiveURL is required for the merchant-visible controlled browser window.

CSV/XLSX
Guided workspace

Upload a supplier spreadsheet in the browser. PowerSync normalizes supplier columns into Shopify-ready review rows.

PDF
Guided workspace

Upload a supplier catalog, sell sheet, or inventory PDF. The beta UI is staged for extraction and preview.

Gmail attachments
Gated

Gmail OAuth remains gated until Google verification and secure token storage are ready for client use.

Google Drive / Sheets
Future connector

Future connection for shared vendor price lists, stock sheets, Drive folders, and changing supplier links.

API/feed
Future connector

Future source for supplier feeds after the core portal and file flows are stable.

What AI Does And Does Not Control

The product is AI-assisted, but Shopify inventory control stays validation-first and merchant-controlled.

AI can do

Suggest field mappings, read messy supplier text, propose SKU matches, explain confidence, summarize alerts, and draft extraction recipes.

AI cannot do

Update Shopify by itself, override safety rules, archive products, ignore source authorization, or approve low-confidence decisions.

Rules decide

Deterministic checks validate schema, confidence, duplicate conflicts, source age, supplier status, and plan policy before actions are created.

Safety And AI Rules

AI can assist extraction and matching. Final inventory control remains rule-based and reviewable.

PowerSync AI reads Shopify first. Shopify-changing actions stay locked as dry-run review records in this release.
AI can suggest mappings, extraction recipes, and low-confidence explanations, but deterministic rules decide inventory proposals.
Duplicate conflicts, unmatched rows, and low-confidence matches are held for review.
The app should only read supplier sources the merchant is authorized to access.
The app should only operate on supplier sources the merchant is authorized to access, with checkpoints and alternate source lanes for portals that require extra verification.

Example Inventory Decisions

These examples explain what merchants should expect when supplier rows turn into proposed Shopify actions.

Supplier says in stock, quantity 24, confidence 98%

Dry-run proposes a safe capped Shopify quantity, usually 5, so the store can sell without overselling.

Supplier says out of stock, confidence 96%

Dry-run proposes setting Shopify inventory to 0 and records the supplier evidence for review.

Supplier says backorder

Dry-run proposes 0 available quantity and marks the reason as backorder, without archiving the product.

Supplier row has no SKU but similar title

The match is held as needs review because fuzzy matching alone should not drive inventory updates.

Two supplier rows match one Shopify variant

The action is skipped as a duplicate conflict so an operator can decide which supplier signal wins.

Discontinued is true

Dry-run proposes zero inventory, but product archiving stays disabled until a later controlled phase.

Review Build

Read-only Shopify import, supplier setup, and dry-run AI PowerSYNC proposals.

Free Access

The review build has no app charges, subscriptions, or checkout flow.

Connector Previews

Additional source types are visible as previews but cannot be activated in this release.

Private Access

Additional connectors and AI provider options are prepared for later release.

Common Terms

Plain-English definitions for the words merchants see inside the app.

Supplier source

A merchant-approved source of supplier inventory evidence, such as a dealer portal, website, CSV/XLSX file, PDF, or Gmail attachment.

Field mapping

The saved recipe that says which supplier column maps to SKU, quantity, stock status, lead time, and other inventory fields.

SKU match

The connection between one supplier row and one Shopify variant. Higher confidence means the app is more certain it found the right item.

PowerSync job

The central merchant workflow. The merchant gives instructions, selects a source and Shopify target, and receives validated inventory proposals without automatic live changes.

Sync check

A review pass that reads supplier information, matches products, and prepares inventory recommendations.

Needs review

A match or inventory decision that should be checked by a human before any automated action can happen.

Island Mode

The one-click beta workflow that runs saved Agent-ready supplier sequences in the background and notifies the merchant when proposals are ready.

Where To Go From Here

Shopify Reviewer Notes

Concise testing context for app review, demo walkthroughs, and merchant onboarding calls.

The public demo and current app mode show AI PowerSYNC review behavior only.
Shopify read permissions are used to import products, variants, inventory items, locations, vendors, SKUs, and quantities.
Shopify-changing actions are intentionally locked as dry-run records for this review build.
Plan-locked or future source types are visible so merchants understand the product roadmap, but unavailable actions are clearly marked.
PowerSync AI should only connect to supplier sources the merchant is authorized to access.
Product position

PowerSync AI is built to say: connect your store, connect your suppliers, and let AI extract inventory signals from supplier files, portals, websites, and emails. Then PowerSync AI safely turns verified availability into dry-run Shopify review proposals.
